Location: Hybrid - Charlotte, North Carolina, USA

Salary: $50,000 - $60,000

Job purpose, tasks and responsibilities

You'll be responsible for supporting the planning, coordination, and execution of our conference events as well as content support for key events in the portfolio.

 

Other responsibilities include:

  • Assist in the planning & coordination of conference events, speaker coordination, and logistical arrangements.
  • Content production including agenda formulation, market research and speaker selection. 
  • Copywriting session descriptions and editing marketing collateral. 
  • Managing advisory boards and steering committees as needed. 
  • Building and maintaining relationships with key stakeholders, such as potential speakers and sponsors.
  • Onboarding sponsored speakers and balancing relationships while maintaining the integrity of conference content.
  • Support the implementation of event technology solutions and tools to streamline registration, attendee engagement, and post-event evaluation processes.
  • Provide administrative support to the conference team, including scheduling meetings, collecting and maintaining speaker materials, preparing materials, and maintaining project documentation.
  • Manages speaker information in conference databases and ensures attendees have accurate, up-to-date information on speaker bios.
  • Serve as a primary point of contact for conference speakers and provide responsive, high-quality customer service.
  • Delivers approved banners and social media content to speakers to encourage promotion of the conference event/their conference session.
  • Assist with onsite event logistics and provide support to our speakers, sponsors and exhibitors. 
  • Manages virtual events and virtual conferencing platforms as necessary. 

Essential and desirable capabilities

We always support colleagues to develop their skills but to be successful in this job you really do need to already be able to tick most of these boxes...

 

To be successful in this role, you will also need to have/ be:

  • Strong experience in an event planning/ conference coordination or similar role.
  • Solid copywriting skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach and the ability to work effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with event management software and tools (e.g., Cvent, Eventbrite) is a plus.
