    Main Purpose of Role

    To provide high quality executive secretarial and administrative assistance as part of the Wilmington Healthcare Commercial Support Team, to the Leadership Team and the Commercial Management Team


    The role reports to the Head of Commercial Support, but will also cover in her absence to assist with PA duties to the Managing Director



    • To provide comprehensive diary management
    • Assist with preparation and coordination of presentations decks
    • Collate and draft reports. 
    • Manage all travel plans and reservations 
    • Maintain accurate information, e.g. office files and records. 
    • Ensure that all contacts are dealt with appropriately, adhering to the principles of helpfulness, friendliness and accuracy 
    • Maintain absolute confidentiality 
    • Raising of supplier purchase orders, ensuring correct cost coding is applied for budgeting
    • Minute taking at meetings across the Wilmington Healthcare sites
    • Completion of out of pocket expenses and credit card purchases for the Leadership Team
    • Updating performance and KPI reports
    • Booking and co-ordination of lunches for Wilmington Healthcare
    • To undertake other duties and responsibilities commensurate with the status of the post as may from time to time be required by the wider team

    Skills and Experience Required


    • At least 3 years’ experience of being a PA/Team Secretary at a Management level
    • Outstanding, best in class Microsoft Office skills in PowerPoint, Word, Excel, and Outlook skills
    • Knowledge of technology for document processing and control (e.g. OneDrive, SharePoint)
    • Capacity to juggle conflicting priorities and demands
    • Ability to record and write accurate, concise minutes of meetings 
    • Maintain confidentiality of information, written or spoken, with regards to all employee matters
    • Excellent organisational skills with the ability to plan ahead whilst still being able to adjust to constantly changing work priorities
    • Ability to maintain high accuracy and work quality standards.
    • Strong communication and interpersonal skills with the ability to effectively communicate with a wide range of individuals in a diverse environment
